3 Tools For Managing Your Virtual Team

I want to share with you three tools for managing your virtual team. If you are an online entrepreneur, like myself, you know how important it is to work ON your business, not in your business.

Doing so allows you to focus on the most important things in your business, so that you can scale, grow, automate, and create more freedom for yourself. In my business, I have nine people that work for me, full-time. They are all contractors that work from home.

My entire team is virtual and live in different parts of the world. When you have a virtual team, you have to have an effective and efficient system in place for managing them.

Below are three tools for managing your virtual team that will improve the online efficiency of your business.

1. Asana

Asana is a project management tool that allows you to track your teams’ work and manage and prioritize your projects. Before I started using Asana, I would send project details via Skype or email. I found it be a disorganized way of managing my projects.

This tool allows you to create tasks, assign due dates and people responsible, add comments to tasks, and upload files. It provides a great way to communicate with your team. One feature I love about Asana is that it allows you to assign different people different tasks and subtasks, and then break down what each task entails.

Asana is a simple, effective, and flexible tool for communicating with your team, and it’s free! With the free option, you get unlimited access to task, project, and conversation features. There is also a paid option with Asana, which provides you with some additional benefits. I’ve been using the free version so far and it’s worked great for my virtual team.

2. Slack

Slack is a team communication and collaboration tool. Before I started using Slack, I used Skype. This is still a great tool for making video calls and interviewing people, but Slack is more efficient because it brings together all of your virtual team communication into one place.

Again, there is a free plan and a paid plan, but I use the free plan in my online business and it’s great. What I love about Slack is that you can set up channels. These public channels allow team members to communicate, without the use of email or group SMS.

In my business, we break down projects into different categories, like videos, blogs advertising, SEO, events, products, etc. Based on who is involved in each project, I invite those people on the team to have discussions with me in those channels.

With Slack, you can share files, make calls, and have group conversations. This is a popular tool that is used by a lot of Internet marketers. It is guaranteed to make your life and your business run more smoothly. 

3. LastPass

Regardless if you have a virtual team or not, you should be using LastPass. It is an extension for your browsers that allows you to save and remember your passwords. A lot of people have to remember their passwords and type them in every time they login.

If you want to have more time in your life, get this tool. LastPass allows you to store everything. It provides you with one master password and then you have different vaults, based on all the different sites that you log into.

This tool is really beneficial if you have a virtual team because, at some point, you will need to give them access to some of the websites, tools and resources that you have in your business.

What’s great about LastPass is that it allows you to give login access to these different sites without having to give up the passwords. For example, I can set up different folders (finances, marketing, etc.) and then add in all the different logins to those folders, which I can then share with members of my virtual team.

The great thing about this tool is that once someone has completed a project, you are able to revoke access to your websites. This is a great way to maintain control of your business and protect yourself. LastPass has a free plan and a paid plan called, Enterprise.

I have updated to the paid version because it’s worthwhile for my business. However, if you only have 1-2 virtual assistants and you aren’t sharing a lot of passwords with them, the free plan is good enough. If I were to suggest two more tools to use it would have to be Dropbox or Google Drive. In any business, you are going to have to share files with your team.

In my business, we have Dropbox folders and Google drive folders for our logos, testimonials, etc. For example, in my virtual team we have standard operation procedures (SOP) for different systems in my business so that team members can follow directions and be able to ensure that they are doing their job correctly.

These are also free tools. However, if you want more storage, you can pay extra. Communication is paramount to ensuring that your business runs smoothly. Implement any of these three tools for managing your virtual team and watch the efficiency and productivity of your team soar to new heights!
